Admissions Administrative Assistant
The Admissions Administrative Assistant position requires strong multi-tasking skills and primarily supports the day-to-day operations of the Admissions Office by completing general clerical, receptionist, and project based work. Responsibilities may include, but are not limited to the following:
• Manage admissions database. Enter and code records, generate reports, and create ad hoc reports. Problem-solve ongoing changes and concerns with system.
• Process inquiries generated through e-mail, internet, phone, and mail. E-mail responses, generate letters, and mail brochures as needed/requested.
• Process applications. Document application contents, generate response letter, and follow up to ensure completion of applications as needed. Manage online applications.
• Process scholarship applications. Document application contents, generate response letter, and follow up to ensure completion of applications as needed.
• Assist with visitors and special events. Create and hang welcome signs, generate and mail confirmations, update database, assist with event preparation as needed.
• Coordinate systems for storing and retrieving files.
• Maintain inventory of publications, letterhead, envelopes, etc…
• Coordinate large and small in-house mailings to students, college counselors, and others as needed. Research mailing options for cost-effectiveness.
• Answer main switchboard and Admissions Office phone, screening all calls to admissions staff. Maintain phone list for college and update each semester. Act as liaison for phone system—first point of contact for resolving problems with system, help new employees set up passwords, etc… Position central to college emergency contact protocol. Maintain awareness of college events and relay general information as needed.
• Provide administrative support to the Director of Admissions and to Admission Counselors as needed.
• Work with students as they assist with projects/tasks in the office.
• Pick up and process mail for the college, coordinate and process all outgoing and in-house mail, sign for and assist with arrangements for special packages via UPS/FedEx/Etc…, reorganize in-house mailboxes each semester. Act as liaison for postage machine, generate end of month report by office for postage use for the BO. Act as liaison to post office, maintain necessary postage permits and research and purchase stamps.
• Coordinate the pricing and purchasing of office supplies for entire college.
• Assist other offices with projects as needed.
• Other duties as assigned.
Qulifications/Skills
Minimum of a high school diploma or equivalent. Writing and communication skills are essential. Knowledge of Microsoft Office required. Experience with word processing, mail merging, spreadsheets, and databases desired. Attention to details is key.
Compensation
Salary based on applicable skills and experience. Health insurance is available after a one-month waiting period, TIAA/CREF retirement plan available after one year of service. Paid vacation and on-campus meals included.
